    Responsibilities

    The duties include, but are not limited to communicating, coordinating, facilitating, and managing the administrative operations in support of USAMMDA's Force Integration Division's materiel fielding mission.

    • Coordinate travel arrangements while working closely with travel agent, materiel fielding team and management.

    • Schedule airport shuttle transportation.

    • Maintain in-office spreadsheet and databases.

    • Produce error free/grammatically correct letters, forms, and minutes of meetings and trainings.

    • Prepare reports using various software packages.

    • Create and manage a filing system of After-Action Reports and other documents.

    • Research historical data and provide documentation at request of military units and government agency.

    • Inventory stock control of office and travel supplies; order supplies as needed.

    • Create and maintain filing systems, both electronic and physical.

    • With little or no supervision, prepare special projects as requested/assigned by USAMMDA in a timely manner.

    • Manage and maintain all GFE and property book compliance for the office using an Access database.

    • Work with management to develop process improvements for current tasks to ensure the best practice and organization is being used.

    • Create tracking spreadsheets for use in office for various tasks. Ensure all items are kept up to date. Produce and maintain a filing system for all documentation for each employee.

    • Answer phones and direct calls.

    • Prepare routine correspondence, forms, and other documents.

    • Coordinate conferences, meetings, and events.

    • Attend meetings, record and report on proceedings.

    • Review outgoing materials and correspondence for internal consistency and conformance with supervisor's procedures.

    • Coordinate personnel and administrative forms and forward for processing.

    • Assist with in office in-processing of new employees.

    • Scan office and travel documentation.

    • Perform other duties as required .

    Qualifications

    Required Education:

    • Minimum Associates Degree preferred, or equivalent experience

    Required Experience:

    • Desired 3+ years relevant experience

    • Proficiency in Microsoft (MS) Office applications including MS Access, Excel, Outlook, PowerPoint, Teams, and Word

    • Excellent written and verbal skills

    • Strong organizational skills with ability to multi-task

    • Experience arranging travel

    Clearance Requirements:

    • Must possess ability to obtain and maintain a Government security clearance; an active clearance at the time of application highly desired
